Formalities

The International Office can help you deal with the most important formalities during and at the end of your studies.

The completion of several important formalities is required during and at the end of your studies. The formalities differ regarding whether you want to end or extend your stay:

Extension

 Re-registration (Rückmeldung) for the next semester
You are required to re-register at the university before the start of each semester. This is done by transferring the semester contribution (Semesterbeitrag).The bank details can be found in your C@MPUS account. Pay attention to the  re-registration deadline (Rückmeldefrist) from January 15 to February 15 for the following summer semester and  from July 15 to August 15 for the following winter semester.

Residence permit extension at the Foreign Registration Office (Ausländerbehörde)
Please also be sure to make an appointment at the Ausländerbehörde and extend your residence permit. You will have to provide the Admissions Office with your extended residence permit.

Extension of your health insurance contract at your health insurance provider
Please contact your health insurance provider and make sure to extend your health insurance contract.

End of stay

We strongly recommend that you take care of all formalities while still being in Stuttgart. Once you have left the country it will be much more difficult.

  • deregistration at the university
  • the cancellation of your tenancy agreement – for the refund of your deposit charged by the Studierendenwerk Stuttgart.
  • de-registration at the Bürgerbüro
  • cancellation of your health insurance contract – make sure to contact your health insurance provider well before deregistration!
  • cancellation of your German bank account
  • de-registration of the Rundfunkbeitrag

Deregistration
At the end of your studies you need to deregister at the Student Service and Examination Office. For most formalities the certificate of deregistration is required (e. g. in order to cancel your bank account or your health insurance). 
You will be able to download a certificate of deregstration on C@MPUS.

Moving out of the dormitory
When you move out of the dormitory the dormitory deposit of EUR 400 can be refunded. Before you move out of your dorm please contact your caretaker (Hausmeister). He has to check your room before the Studierendenwerk Stuttgart will reimburse your deposit. You need a Laufzettel from the caretaker which confirms you handed over your room in an acceptable condition. The deposit will be transfered to your bank account.

Students who do not have a bank account in Germany, the European Union or in Iceland, Norway or Switzerland can pay their first rent payment and the deposit by barcode at various retailers such as Rewe, Penny or Real in cash at the checkout or have it paid out. The Studierendenwerk (student services organization) has introduced the Barzahlen/viacash system for this purpose. There are no fees. For more information please visit the Studierendenwerk website. 

De-registration at the Bürgerbüro
Before you leave Stuttgart you have to de-register at the Bürgerbüro/Einwohnermeldeamt with the green cancellation form (Abmeldung) which is available at the Bürgerbüro or at the Office of International Affairs.

Cancellation of your health insurance
As a rule it is only possible to cancel your health insurance at the end of a semester. After submitting the deregistration form application for deregistration to the university your health insurance company will automatically be informed by the university of your de-registration and your insurance contract will end then.

Cancellation of your bank account
Before you leave Stuttgart you should cancel your bank account. Please go to the bank in person and return your bank cards. In exceptional cases (e.g. if you are still awaiting money transfers to your account) the account can also be cancelled by e-mail.

De-registration of the Rundfunkbeitrag
When you leave Germany you need to de-register your Rundfunkbeitrag to avoid further payments.

Formalities that can occur during your studies

Change of address

If you change your address during your stay it is your duty to inform the following institutions (this also applies if you stay in the same city):

  • Residents' Registration Office (Rathaus/Bürgerbüro):
    Fill in the form Ummeldung
  • Admissions Office (BZE):
    Address and contact details can be changed in C@MPUS.
  • International Office: Inform us via e-mail or our contact form
  • ARD ZDF Deutschlandradio Beitragsservice for your broadcasting contribution (Rundfunkbeitrag): Fill in the form Daten ändern
Please also remember to inform
  • Your health insurance provider
  • Your bank 

Additional formalities

If you are an Erasmus+ exchange student or an exchange student from overseas, there are some additional requirements that apply to you:

How to extend your studies
Please contact the International Office by December 1 (if you are staying in the winter semester) / June 1 (if you are staying in the summer semester) in order to clarify the requirements to extend your stay.

You will also need to extend and modify your Learning Agreement. The International Office will provide you with more information in due time.

If you are allowed to extend your stay, you have to re-register at the University of Stuttgart during the re-registration period, transferring the contribution to the bank account indicated in C@MPUS. Check Extension above for further necessary formalities.

 

Additional requirements at the end of your stay:

Certificate of departure
Some Erasmus+ students need to get a signature on their certificate of departure for their home university. Please contact your academic/departmental Erasmus+ coordinator and kindly ask them to sign and stamp your paper. The Erasmus+ coordinators can sign your certificate of departure not earlier than five days prior to your departure.

Transcript of records
Exchange students can download their transcript of records from C@MPUS: In the category “My certificates”, you can find the transcript available in both English and German, as well as many other documents.

If courses are missing on your transcript or in case of any other issues, please use the contact form to propose your concern to the examination office. Choose “Other concerns”, mention you are an exchange student, and provide potential grade screenshots needed.

Approx. four weeks before the end of your stay, the International Office will send you a detailed list of all formalities you have to complete. If you have further questions, please check our FAQ page.

How to extend your studies
Please contact the International Office in order to find out whether you are able to extend your stay. Your home university needs to send you a confirmation for the extension of your stay.

If you are allowed to extend your stay, you have to re-register transferring the contribution to the bank account indicated in C@MPUS. Check Extension above for further necessary formalities.

Sometimes, but not always, it is possible to extend your dorm contract as well. Please contact the Office of International Affairs as soon as possible if you want to stay in your dorm.

If you have received a scholarship it is not possible to extend the duration of payment from the scholarship.
